Privacy

How GRSB handles your personal information in this app. Last updated 5 November 2026.

Who we are

This app is run by GRSB for its own employees and contractors. It is used to manage rosters, time worked, vehicle prestart checks, staff documents and work messages. GRSB is responsible for the personal information in it and handles it under the Australian Privacy Principles (Privacy Act 1988).

What we collect

  • Your name, work email address and phone number, plus work details the office records (role, job title, employee number, employment type, licence class and expiry).
  • Licence and MSIC documents: photos or PDFs of your driver licence, MSIC card and other work documents you or the office upload, with their numbers and issue and expiry dates.
  • Location when you clock in and out: if GRSB has it switched on and you leave “Share my location” ticked, your phone’s GPS position is recorded once at clock in and once at clock out. Location is never tracked in the background, and clocking works without it.
  • Location on a proof of delivery: if GRSB has Forms & reports switched on, you can tick “Attach my location to this delivery” on a proof of delivery. Your phone’s GPS position is then recorded once, with that report. It is optional, never required to send a report, and never tracked at any other time.
  • Photos you take or upload in the app, such as prestart and defect photos of vehicles, and photos attached to delivery, incident, equipment fault and end of shift reports.
  • Reports you send: proof of delivery (the receiver’s name and their signature drawn on your phone, customer, container, seal and load numbers), incident reports (what happened, who was involved and any injuries), equipment fault reports and end of shift reports (odometer and fuel).
  • Records you create while working: shifts you accept, times clocked, prestart answers and signatures, chat messages and leave requests, and the date and time you last signed in.

Why we collect it

To roster you and contact you about work, pay you correctly from your timesheets, keep vehicles roadworthy and meet heavy vehicle and workplace safety obligations, check that you hold a current licence and MSIC for the work you’re given, and keep the time and wages records employers must keep under the Fair Work Act. We don’t sell your information or use it for advertising.

Who can see it

The GRSB office (administrators and dispatchers) can see your details, documents, timesheets, prestarts and the reports you send. Other staff only see what the company directory shows them: by default your name, role, job title, fleet group and work groups (and, for office staff, work phone and email). Your information is stored with our hosting provider in a secure database and file storage, and email is sent through our email provider. We share it with others only when the law requires it or you agree.

How long we keep it

While you work with GRSB and afterwards for as long as the law requires. Time and wages records are kept for 7 years. Expired documents and old photos may be removed earlier when they’re no longer needed.

Your choices

You can ask to see or correct the information we hold about you, or ask for your account to be closed and your information deleted (apart from records we have to keep by law). You can refuse location sharing at clock in and out, and on a proof of delivery, at any time. If you’re unhappy with how we handled your information, contact us first; you can also complain to the Office of the Australian Information Commissioner (oaic.gov.au).
